1. Business Requirements & Scope of Work

The Miami Dade College Engineering & Technology (EnTec) Department requires the means to keep track of its Tablet PC hardware assets that are to be loaned to its students and members of the community. The solution must provide the lender a way to easily and efficiently collect all of the information needed to ensure that all equipment can be tracked in a way that benefits both parties involved, so that the department can keep a record of all Tablet PC’s loaned in real-time.

The department would also like to ensure that any lost or damaged Tablet PC’s will be reported to the person responsible efficiently so that an accurate inventory of what is available to use is available to those who need the information. Ideally the system will also help to free up the time of the individuals responsible for tracking these assets by automating the scheduling and reservation process so that the system tracks when, where, and who has reserved each asset. The goal would be to reduce the amount of resources are overcommitted and mishandled by the current, manual scheduling process.

1.1. Background

The existing hardware asset tracking methodology consists of spreadsheets that must be filled out manually. The person responsible begins by recording barcode information and the hardware’s serial numbers at the moment of lending. This spreadsheet is then updated by matching the barcode information and serial number of the returned tablet against the initially entered checkout information which includes the duration of the equipment loan and who is responsible for the Tablet PC after it has been checked out..

1.2. Business Opportunity

The opportunity that the solution we provide gives rise to, is the ability for the Entec department to work more efficiently and sustainably by being able to track their assets and any damages to their assets more productively. The department’s ability to track their assets will be able to help produce better reports for budget requests in future years by accurately tracking the demand for the use of Tablet PC’s based on the amount of Tablets loaned out and by tracking the damages made to these assets in order to request replacement and/or repair funds.

  1. Program must track number of tablets in inventory against number of tablets "on Loan".

  2. The system must track who the tablets have been loaned to and data must be collected in regards to who has made the agreement to actually take the tablet.

    • There needs to be a mechanism for tracking how long the tablet will be out on loan. This information is derived from the form that we use to get the amount of time on loan as requested by the person making the request to borrow the tablet. We need a follow up question in regards to max time the tablet should be on loan. Project Owner stated they are not concerned with the length of time so long as the person returns it as per the agreement made when the record was created but maybe we should cap it to no more than three weeks or someone in the future will likely create a record that agrees to loan the tablet for 2 years.
  3. The program must allow users to schedule and reserve the tablets for the dates they specify so as to avoid any scheduling conflicts with other people who may want to take out the tablets on loan also.

  4. There must be a form that collects data in the form of an incident report in case the tablets are lost, damaged, stolen, or destroyed by an act of god. Someone, for the love of god, must be informed!!!!

  5. Need a way to report data to the user/person responsible for tracking tablets. a few reporting fields requested are as follows:

The existing deadline entails a timing challenge for the team and creates the possibility of the team being unable to achieve the most optimal solution.

The ultimate goal of the Entec Asset Tracker is to optimize every step in the asset-tracking process by providing a higher degree of automation and a logical organization of the data pertaining to this process, thereby facilitating it as much as possible.

The Entec Asset Tracker team is working under the assumption that there is readily available documentation from scanner manufactures about their products and that these documents will provide appropriate information that will enable the team to successfully implement the use of a scanner as an additional part of the solution by using the manufacturers API.

3. Scope and Limitations

1.1. Scope of Initial Release

As a conservative estimate, the must have features described above in section 2.2 will be part of the product’s initial release. The team’s work will aim to implement its should-have and could-have features on schedule, but their fulfillment is not indispensable to the release of the initial product.

1.2. Limitations and Exclusions

  1. An Entec Asset Tracker mobile application that enables scanning with the use of a smartphone or tablet is being currently excluded from its initial release.

  2. An online solution of this system will not be released.

  3. A multi-user solution is not part of this agreement.
